
Payment & Refund Policy
Effective date: 27 September 2025
1) Scope
This policy applies to all services offered by EditPi (e.g., English editing, scientific writing support, formatting, editorial consulting). By commissioning a service, you agree to the terms below.
2) Quotes & Pricing

Free, no-obligation quotes. Quotes are based on word count, service level (proofreading / substantive / developmental / writing), complexity, and turnaround time.

Validity. Quotes are valid for 14 days unless otherwise stated.

Currency. Domestic clients are quoted in INR; international clients in USD (or another mutually agreed currency).

Taxes. If applicable, GST/VAT or local taxes will be added (provide GST details if registered).
3) Payments & Invoicing

Accepted methods. Bank transfer, UPI, credit/debit card, and leading payment gateways (e.g., Stripe/PayPal). Payment details are provided on the invoice.

Upfront payment.
-
Projects ≤ ₹25,000 / $300: 100% upfront.

Projects > ₹25,000 / $300: 50% deposit to start; balance due on delivery of the edited files (before release of final/high-res or publication-ready versions).

Rush/Weekend surcharges. Express timelines (typically <48–72 hours) may carry a 20–40% surcharge; confirmed during quoting.

Milestone billing (for multi-phase projects). For long or multi-deliverable projects, EditPi may invoice per milestone (e.g., sections, chapters, or rounds).

Payment due date. Unless otherwise agreed, invoices are due upon receipt. Delays beyond 10 calendar days may pause work and/or attract a late fee of 1.5% per month (or the maximum allowed by law).
4) Scheduling & Turnaround

Work starts after the required deposit/payment clears and all materials/instructions are received.

Timelines are estimates and depend on prompt client feedback for queries, style decisions, figures/tables, and references.

Force majeure (illness, outages, disasters) may require a revised delivery schedule; you will be notified promptly.
5) Scope Clarity & Revisions

Scope lock. The quote covers the agreed service level and the submitted version of the manuscript/files at the time of confirmation.

Scope changes. New content, major rewrites, or additional analyses introduced later are billed separately at the current rate.

Complimentary revision window. One minor revision (light edits, clarifications) is included within 14 days of delivery, provided it is within the original scope. Additional rounds or scope expansions are billable.
6) Quality Assurance

EditPi follows recognized editorial standards (clarity, grammar, structure, consistency, journal/style-guide alignment where specified).

No guarantee of acceptance. Editing improves clarity and presentation but does not guarantee peer-review acceptance or publisher/editor approval.
7) Cancellations & Refunds
A) Before work begins
-
If you cancel before EditPi starts, a full refund of any deposit is issued, minus non-recoverable payment gateway fees (if any).
B) After work has started (project in progress)
Refunds are proportional to the % of work completed at the time of cancellation, calculated against agreed milestones or demonstrable progress. Typical guide:

≤25% completed: 75% of the corresponding fee refundable

26–50% completed: 50% refundable

51–75% completed: 25% refundable
-
>75% completed: not refundable
All refunds are net of gateway/banking fees already incurred.
C) After delivery of the first edited files

The service is considered substantially rendered. Refunds are generally not available after delivery. Instead, use the complimentary revision window for corrections aligned with the original scope.

If you believe there is a material quality issue (e.g., pervasive errors demonstrably inconsistent with the agreed brief), notify EditPi within 7 days of delivery with specific examples. EditPi will:

Re-review and correct issues within a reasonable timeframe at no extra charge, and
-
If the re-review does not address reasonable defects within scope, consider a partial goodwill refund at EditPi’s discretion (typically up to 30% of the affected fee).

D) Non-delivery
If EditPi fails to deliver and you choose to cancel, you will receive a full refund of the amount paid for the undelivered portion, unless delay is due to incomplete client inputs or force majeure.
E) Chargebacks
Please contact EditPi first to resolve concerns. Unauthorized or bad-faith chargebacks may be treated as breach of contract; EditPi reserves the right to seek recovery of fees and associated costs.
8) Files, Confidentiality & Data

All client materials are treated as confidential and used solely for the purpose of the project.

EditPi may retain working copies and correspondence for record-keeping and QA for up to 12 months, after which they may be securely deleted.

If an NDA is required, please share it before work begins.
9) Client Responsibilities

Provide the final working files, style guides (journal, publisher, funder), reference lists, figures/tables, permissions, and any special instructions upfront.

Respond to editorial queries in a timely manner; unresolved queries may delay delivery or be flagged in comments.

Verify all factual content, data integrity, ethical approvals, and permissions. Editing does not replace author responsibility for scientific accuracy or compliance.
10) Discounts & Bundles

Academic/lab group, multi-manuscript, or retainer arrangements may qualify for bundle pricing—confirmed in writing and applied to invoices accordingly.

Promotional discounts (if any) must be claimed at booking and cannot be retro-applied.
11) Refund Method & Timeline

Approved refunds are issued via the original payment method where possible. Processing times depend on your bank/gateway; EditPi will initiate approved refunds within 5 business days of confirmation.
12) Dispute Resolution & Governing Law
-
Both parties will first seek an amicable resolution via email/meeting within 14 days of a written complaint.

Failing resolution, matters are subject to the courts of Pune, Maharashtra, India (or specify your preferred jurisdiction), under applicable Indian laws.
13) Policy Updates
-
EditPi may update this policy from time to time. The version in force is the one published on the EditPi website at the time of booking.
