These Terms and Conditions explain how EditPi provides academic editing, scientific writing support, research support, data analysis, and publication-support services. They apply when you visit www.editpi.org, request a quote, confirm an order, make a payment, send project materials, or use a deliverable supplied by EditPi.
PLAIN-LANGUAGE SUMMARY Your confirmed quote or order defines the project scope, fee, and timeline. These Terms govern the overall service relationship. The Privacy Policy explains how information and manuscripts are handled, and the Refund Policy explains cancellation and refund eligibility.

About EditPi and these Terms
EditPi is an India-based provider of human-led academic editing, scientific writing support, thesis and dissertation support, systematic-review and meta-analysis support, data analysis, citation checking, journal formatting, and related publication-support services. In these Terms, “EditPi”, “we”, “us”, and “our” refer to [INSERT FULL LEGAL OR PROPRIETOR NAME], operating under the brand EditPi.
“Client”, “you”, and “your” mean the individual or organization requesting, purchasing, receiving, or using a service. “Order” means the confirmed quote, invoice, statement of work, email confirmation, payment request, or other written project instruction accepted by EditPi.
These Terms incorporate the EditPi Privacy Policy and Payment, Cancellation & Refund Policy. If a confirmed Order contains a specific commercial term that conflicts with these general Terms, the Order controls only for that specific project term. Mandatory rights under applicable law always remain unaffected.
Eligibility and authority
You must be at least 18 years old and legally capable of entering into a contract. If you place an Order for a university, company, research group, co-author team, or another person, you confirm that you are authorized to act for them and to share the project materials.
You are responsible for obtaining any co-author, supervisor, institution, patient, participant, publisher, funder, or data-owner permission required before sharing materials or instructing EditPi to work on them.
Services covered
EditPi provides customized professional services. Depending on the confirmed Order, these may include proofreading; copy, substantive, or advanced editing; academic and scientific writing support; rewriting; thesis or dissertation support; literature reviews; systematic reviews; meta-analyses; statistical or analytical data analysis; citation and reference validation; similarity reduction; journal selection and formatting; cover letters; reviewer-response support; graphical abstracts; presentations; and related research or publication support.
The exact service level, deliverables, file formats, word count, milestones, revision arrangement, fee, and turnaround time are limited to what the confirmed Order states. A website service description is general information and does not add work to an Order unless that work is expressly included.
Academic integrity and acceptable use
EditPi provides ethical academic and research support. Our services are intended to improve, analyze, organize, explain, or present legitimate work. They must not be used to misrepresent authorship, fabricate research, falsify data, evade an examination, breach institutional rules, or deceive a journal, university, funder, regulator, or other third party.
You remain the author or responsible researcher and must make the final intellectual decisions, verify the scientific and factual content, obtain required approvals, and disclose editorial or AI assistance when required by a journal, institution, funder, or professional standard.
EditPi may refuse, pause, or terminate a request that appears unlawful, unethical, unsafe, deceptive, defamatory, infringing, or inconsistent with academic or publication integrity. Where practical, EditPi will explain the concern and may offer a compliant alternative.
Quotes, scope, and order confirmation
A quote is based on the materials and instructions available when it is issued and remains valid for the period stated in the quote. If no validity period is stated, EditPi may recheck the price and availability before accepting payment.
An Order is confirmed when EditPi accepts the project in writing and receives the required payment or deposit, complete project materials, and final instructions, unless EditPi expressly agrees to another arrangement. Automated payment confirmation alone does not oblige EditPi to perform a request that is outside its services or violates these Terms.
You should review the service level, scope, word count, deliverables, deadline, price, and revision terms before confirming the Order. Any ambiguity should be resolved in writing before work begins.
Client materials, instructions, and responsibilities
You must provide accurate, complete, lawful, and usable files, data, references, instructions, target-journal guidelines, deadlines, and other information needed for the service. You must keep backup copies of all materials sent to EditPi.
You confirm that you own the materials or have permission to share and use them for the requested purpose. Do not send unnecessary passwords, government identifiers, payment-card details, identifiable patient data, confidential third-party data, or other sensitive information.
You are responsible for the underlying research design, raw data, ethical approvals, consent, authorship decisions, conflicts of interest, factual claims, conclusions, citations, and final submission. EditPi may identify concerns, but it does not replace the client, principal investigator, statistician of record, legal adviser, ethics committee, journal editor, or institutional authority.
Service-specific responsibilities and limitations

Editing and rewriting: Editing improves language and presentation while aiming to preserve meaning. The client must approve substantive changes and verify technical accuracy.

Writing support: The client must provide legitimate source material, contribute intellectually, review the work, comply with authorship rules, and disclose assistance where required.

Literature and evidence reviews: Search results depend on the agreed databases, dates, search strategy, access, eligibility criteria, and available records. No search can guarantee identification of every relevant source.

Statistical and data analysis: Results depend on the accuracy, completeness, coding, assumptions, and suitability of the supplied data. The client must validate source data and approve the final analytical approach and interpretation.

Citation and reference checking: Checks are limited to the agreed scope and information accessible through available sources. Database records, DOI metadata, journal websites, and publisher information can change or contain errors.

Similarity and AI-compliance support: Ethical rewriting and citation correction may reduce flagged text, but third-party detection scores are variable and are not proof of misconduct or authorship.

Journal selection and submission support: Recommendations and formatting support do not guarantee that a journal will remain indexed, accept the manuscript, waive charges, or complete review within a particular time.

Certificate of Editing: A certificate confirms only the editing service described on the certificate. It does not certify research validity, authorship, ethical approval, originality, acceptance, or publication.
Prices, payment, taxes, and transaction charges
Fees are based on the selected service, word count, complexity, document condition, turnaround time, and project requirements. Prices shown on the website are indicative unless the service is expressly offered at a fixed checkout price. The confirmed Order states the amount payable.
Work normally begins after the required advance payment or deposit is received. For milestone projects, EditPi may pause work or withhold later deliverables if an agreed instalment is overdue. Any delay caused by late payment may move the delivery date.
The client is responsible for applicable taxes, bank charges, currency-conversion costs, and payment-gateway fees unless the Order states they are included. EditPi will issue invoices or receipts as required by its applicable tax and business obligations.
If a payment is reversed, disputed, or charged back, please contact EditPi promptly so the issue can be reviewed. EditPi may suspend the related service while a genuine payment dispute is unresolved.
Timelines, business days, and communication
A quoted turnaround begins only after Order confirmation and receipt of all required materials and instructions. Unless the Order states otherwise, “business day” means Monday to Friday, excluding public holidays observed by EditPi in Goa, India.
Delivery estimates depend on timely client replies. Missing files, delayed approvals, changed instructions, unreadable data, additional requests, third-party platform outages, or events outside reasonable control may require a revised timeline. EditPi will communicate a material change as soon as reasonably practical.
The client should monitor the email address or messaging channel used for the Order. EditPi is not responsible for delays caused by an incorrect address, full inbox, spam filtering, inaccessible link, or prolonged non-response, although reasonable redelivery assistance will be provided.
Changes in scope and additional work
A request is outside scope when it adds a new document, dataset, analysis, journal, research question, method, source search, section, figure, submission round, or substantial instruction that was not included in the confirmed Order.
EditPi will normally identify material out-of-scope work before performing it and may provide a revised quote and timeline. Minor clarifications that do not materially increase the work may be handled without a new charge at EditPi’s reasonable discretion.
Delivery, review, and acceptance
Deliverables are sent through email, a secure link, the agreed platform, or another confirmed method. Delivery occurs when EditPi sends the file or makes it available through that method.
You should download, open, and review the deliverable promptly and report any missing file, corruption, or scope issue with specific examples. If the Order does not state a review period, please submit an initial quality concern within 14 calendar days after delivery. This administrative period does not remove any statutory right that cannot lawfully be limited.
EditPi may close an inactive project after reasonable follow-up where client feedback, approval, or materials remain outstanding. Reopening may require a revised schedule and, where substantial new work is needed, an additional fee.
Revisions and quality concerns
The confirmed Order determines the revision period and number or type of revision rounds. If it is silent, EditPi will review reasonable requests submitted within 14 calendar days of delivery that concern the original scope.
A valid revision request should identify the relevant file, section, and issue and explain the expected correction. EditPi may correct eligible editing or service errors without an additional charge. A revision is not a new assignment and does not include changed research aims, fresh data, new sources, a different journal, new reviewer comments, or additional analysis unless the Order includes them.
If client changes or third-party edits are made after delivery, EditPi is responsible only for the content it supplied and cannot guarantee compatibility with later versions. Please provide a clean, identifiable file when requesting revisions.
Cancellation and refunds
Payment, cancellation, refund eligibility, non-refundable work, quality review, and refund processing are governed by the current EditPi Payment, Cancellation & Refund Policy at https://www.editpi.org/refund-policy.
In general, a cancellation before work begins may be eligible for a full refund after any non-recoverable transaction charge. Once work has started, an eligible refund is normally calculated after deducting the reasonable value of work completed. Completed and delivered work is normally non-refundable, but eligible quality concerns within the original scope may be corrected.
Nothing in these Terms or the Refund Policy excludes a refund, remedy, or consumer right that must be provided under applicable law.
Third-party platforms, journals, databases, and charges
EditPi may use or refer to third-party journals, publishers, databases, reference managers, similarity-checking tools, payment gateways, cloud services, statistical software, submission systems, and communication platforms. Their terms, availability, algorithms, prices, and decisions are outside EditPi’s control.
Journal submission fees, article processing charges, open-access fees, database access, translations, printing, courier costs, software licences, or other third-party charges are not included unless the Order expressly states otherwise. The client should approve any third-party fee before it is incurred on the client’s behalf.
A journal suggestion is based on available information and is not an endorsement or guarantee of scope fit, indexing status, peer review, acceptance, speed, or future policy. The client must approve the final journal and submission.
Confidentiality, privacy, and project files
EditPi treats client manuscripts, data, correspondence, and unpublished research as confidential and limits access to personnel or service providers who need it for delivery, quality control, security, accounting, or legal compliance and who are subject to appropriate confidentiality obligations.
Personal data and project files are handled under the current EditPi Privacy Policy at https://www.editpi.org/privacy-policy. That policy explains the categories of information collected, purposes, recipients, retention, security, international transfers, and available privacy rights.
No electronic system is completely secure. Clients should minimize sensitive data, anonymize patient or participant information wherever possible, and tell EditPi before sending material that requires special handling or a data-processing agreement.
Intellectual property and permitted use
You retain ownership of the original manuscript, data, figures, instructions, and other materials you provide. EditPi does not claim authorship or ownership merely because it edits or reviews them.
After full payment, and to the extent EditPi owns them, rights in customized deliverables created specifically for the Order are assigned or licensed to you for the intended academic, research, publication, or professional purpose. This does not transfer third-party content, public-domain material, software, fonts, journal templates, database content, stock assets, or other material governed by separate rights.
EditPi retains ownership of its pre-existing know-how, internal checklists, methods, workflows, templates, software, prompts, style systems, and generalized skills. EditPi may reuse non-confidential knowledge and techniques that do not reveal the client’s identity, unpublished content, data, or research findings.
EditPi will not publicly display a client’s unpublished work, name, logo, testimonial, or project details for marketing without permission, except where disclosure is required by law.
Human-led work, AI tools, and automated reports
EditPi’s services are human-led. Generative AI is not used on a client manuscript without the client’s written opt-in, consistent with the Privacy Policy. If the client requests or approves an AI-enabled tool, human review remains part of the agreed service unless the Order clearly states otherwise.
AI-detection, similarity, plagiarism, citation, translation, and automated language tools are third-party systems that may produce different results across tools, versions, databases, dates, and file formats. Their outputs are indicators, not definitive findings of authorship, originality, misconduct, or quality.
Unless a specific written Order expressly promises a defined report or threshold, EditPi does not guarantee a particular AI-detection or similarity score. Even where a target is agreed, it can apply only to the named tool, version, database access, and file tested at the time of delivery, subject to lawful and academically responsible editing.
No guarantee of academic, journal, or commercial outcomes
EditPi aims to improve clarity, structure, language, analysis, reporting, and submission readiness. However, it does not guarantee journal acceptance, publication, peer-review results, a grade, degree award, funding decision, patentability, citation count, indexing, ranking, commercial success, or approval by a supervisor, institution, regulator, or other third party.
Rejection or an adverse third-party decision does not by itself show that the service was defective. Editorial and academic decisions depend on factors outside EditPi’s control, including novelty, methodology, data quality, ethics, journal fit, reviewer opinion, institutional rules, and competition.
Website content and acceptable website use
Website information is provided for general guidance and may be updated. Service descriptions, examples, estimated timelines, prices, testimonials, and educational content are not a binding offer unless incorporated into a confirmed Order.
You must not misuse the website, attempt unauthorized access, introduce malicious code, scrape or copy content unlawfully, impersonate another person, interfere with operation, or use forms and communication channels for spam, fraud, harassment, or unlawful activity.
EditPi owns or lawfully uses the website design, branding, text, graphics, and other site content. You may view and share links for personal or legitimate business purposes, but may not reproduce substantial website content or use EditPi branding without permission.
Suspension and termination
EditPi may suspend or terminate an Order for non-payment, prolonged non-response, abusive conduct, security risk, unlawful or unethical instructions, infringement concerns, false information, or a material breach of these Terms. Where appropriate, EditPi will provide notice and a reasonable opportunity to correct the issue.
On termination, the client remains responsible for fees for work reasonably completed and approved third-party costs incurred up to the termination date. Any eligible refund is handled under the Refund Policy. Clauses that by nature should continue, including confidentiality, intellectual property, payment, disclaimers, liability, and dispute provisions, survive termination.
Reasonable care and service disclaimer
EditPi will perform the confirmed service with reasonable care and skill, using the information and materials provided. Because academic and professional content involves judgment, no deliverable can be guaranteed to be completely error-free, exhaustive, or suitable for every later purpose.
Except for express commitments in the Order and rights that cannot be excluded by law, services and website content are provided without implied guarantees of fitness for a particular outcome, uninterrupted availability, or acceptance by any third party. Clients must conduct a final review before submission, publication, implementation, or reliance.
Limitation of liability
To the extent permitted by law, EditPi is not liable for indirect, incidental, special, punitive, or consequential loss, including loss of opportunity, anticipated publication, grade, funding, reputation, profit, data, or business, arising from use of the website or services.
To the extent permitted by law, EditPi’s total aggregate liability arising from a specific Order will not exceed the fees actually paid to EditPi for the affected service. This limit does not apply to liability that cannot lawfully be excluded or limited, including liability arising from fraud, wilful misconduct, or any mandatory consumer protection.
The client should maintain independent backups and promptly notify EditPi of a suspected problem so reasonable corrective action can be considered.
Client responsibility for third-party claims
To the extent permitted by law, the client is responsible for losses or claims caused by materials the client had no right to provide, fabricated or unlawful content, false authority, misuse of a deliverable, or a material breach of these Terms. EditPi will give reasonable notice of a relevant claim and will not seek recovery for loss caused by EditPi’s own breach or misconduct.
Events beyond reasonable control
Neither party is responsible for delay or failure caused by an event beyond reasonable control, such as natural disaster, serious illness, war, civil disturbance, government restriction, power or internet failure, cyber incident, labour disruption, or material outage of a third-party platform. The affected party should notify the other party and take reasonable steps to reduce the impact.
If such an event materially prevents completion for an extended period, the parties may agree on a revised schedule, reduced scope, or cancellation. Payment for completed work and any eligible refund will be assessed fairly under the Refund Policy and applicable law.
Complaints, governing law, and disputes
If you have a concern, please contact EditPi first with the Order or invoice number, the relevant file, and a clear description of the issue. We will review it in good faith and try to resolve it through direct communication.
These Terms are governed by the laws of India. Subject to any mandatory consumer forum, statutory remedy, or jurisdiction that cannot lawfully be excluded, the competent courts in Goa, India will have jurisdiction over disputes connected with the website or services.
Nothing in this clause prevents either party from seeking urgent protective relief or using a legally available consumer grievance or regulatory process.

Changes to these Terms
EditPi may update these Terms to reflect changes in services, technology, business operations, or applicable law. The revised version will be posted with a new “Last updated” date. Material changes will apply prospectively unless law requires otherwise.
The Terms that applied when an Order was confirmed will normally continue to govern that Order, except where a change is required by law or the parties agree otherwise in writing.
General provisions
If any provision is found invalid or unenforceable, the remaining provisions continue in effect, and the affected provision will be applied to the maximum lawful extent. A delay in enforcing a right is not a waiver of that right.
The confirmed Order, these Terms, the Privacy Policy, and the Refund Policy form the agreement for the service and replace earlier discussions about the same subject, except for any separate written confidentiality or data-processing agreement.
The client may not transfer an Order to another party without EditPi’s written consent. EditPi may use qualified personnel or contractors to perform services while remaining responsible for the confirmed service and applicable confidentiality obligations.
Electronic communications, approvals, invoices, and confirmations may be used to form and administer the service relationship. Headings and summaries are for readability and do not limit the meaning of a clause.

When does EditPi start an Order?

How does EditPi protect confidential research?
Access is limited to people and providers who need it for the service and are subject to confidentiality obligations. The Privacy Policy explains data handling and retention in detail.
How can I request a refund or raise a complaint?
Follow the Refund Policy and contact orders@editpi.org with your Order or invoice number and specific details. Complaints can also be sent to the listed Grievance Officer.
